These terms explain how we work, so that you know what to expect and so that we can keep appointments available for everyone. They do not affect your statutory rights. Please ask reception if anything is unclear.
1. Who we are
Miserden Dental Practice is a private dental practice at The Estate Barn, Miserden, Stroud, Gloucestershire GL6 7JA, registered with the Care Quality Commission. Laboratory work is made by Implant and Ceramic Centre Ltd (company number 05180652), registered with the MHRA as a manufacturer of custom-made dental devices. Our dentists, hygienists, therapists, dental nurses and technicians are registered with the General Dental Council; trainee dental nurses work under supervision while they train.
2. Booking and deposits
- New patients are asked for their contact details, medical history and, where relevant, recent X-rays before their first visit.
- Accepting these terms. When you book, including online, we email you these terms. Before your first appointment, please reply to manager@ceramiccentre.com with your full name and the words "Yes, I accept the terms and conditions", or sign them in our online patient portal if you are asked to. We save your acceptance to your patient record.
- Staying a registered patient. After your new patient examination, we recommend a check-up with one of our dentists at least once a year. If more than two years pass without a visit to one of our dentists or hygienists, your next examination is charged as a new patient examination rather than a check-up. A visit to one of our hygienists counts as a visit.
- We take a deposit of 50% of the fee to secure new patient examinations, holistic consultations, longer appointments and treatment involving laboratory work. Deposits are deducted from the cost of your treatment. Between Christmas and New Year, all appointments are paid in full when you book. These are, in effect, emergency appointments: we keep this time free for patients who need urgent care over the holiday. If you book and do not attend, your payment is not refunded.
2a. Your right to cancel within 14 days
If you book an appointment, take out a dental plan or order from our shop online, by phone or by email, you can cancel within 14 days without giving a reason, and we will refund what you have paid. If you ask us to see you within those 14 days and then cancel after treatment has started, we may charge for the treatment already given. For shop orders, the 14 days start when you receive the goods; for hygiene reasons, opened products can only be returned if faulty. Once the 14 days have passed, the notice and deposit rules in section 3 apply. Dental plans are run by CODEplan, whose own cancellation terms also apply. Your rights under consumer law are not affected.
3. Cancelling or moving an appointment
- Please give at least two full working days' notice if you need to cancel or move an appointment. Working days are Monday to Friday; weekends and bank holidays do not count. If you need to cancel or change an appointment close to the deadline, you must email reception@miserdendentalpractice.co.uk for your notice to be valid; a phone, text or WhatsApp message is not enough. For example, for a Monday appointment please tell us by 5pm on the Wednesday before.
- If you give less than two full working days' notice or do not attend, your deposit is lost. Where no deposit was taken, a late cancellation or missed appointment may be charged at 50% of the appointment fee.
- If you arrive more than 15 minutes late we may need to rebook you, and this counts as a missed appointment.
- Two or more missed appointments may mean we ask for full payment in advance, or that we are unable to offer further appointments.
- If we need to cancel your appointment, we will give you as much notice as possible and offer the next suitable time. Any deposit is carried forward or refunded.
3a. If your practitioner is unwell
If your practitioner is unwell on the day of your appointment, we will try to tell you before you set off. If you are already on your way, or have travelled a long way, we will offer you the appointment with another suitably qualified practitioner from our team, at the same fees. You do not have to go ahead. If you choose not to, any deposit or payment for that appointment is refunded in full, and we will rebook you. If you choose to go ahead, the practitioner will explain the treatment and ask for your consent, as they would for any appointment. Every practitioner who treats you here is registered with the General Dental Council and works to the practice's standards.
4. Fees, estimates and payment
- Our current fees are on our fees page. Prices can change; the fee you pay is the one in your written estimate.
- Before any course of treatment beyond an examination, you will receive a written treatment plan and estimate. If the plan needs to change during treatment, we will explain why and agree any change in cost with you first.
- Payment is due at the end of each appointment. For treatment involving laboratory work, we may ask for part payment when the work is ordered, because it is made specifically for you.
- We accept debit and credit cards. Unpaid accounts may be passed for collection after reminders.
5. Laboratory work and custom-made devices
- Crowns, bridges, veneers, implant teeth, dentures and appliances are custom-made for you and cannot be reused, so laboratory costs already incurred are not refundable if you cancel treatment after the work has been ordered.
- A statement of manufacture for your custom-made device is available on request.
- Your dentist prescribes your treatment. Our laboratory sets out the materials and options that are technically suitable, including metal-free options where possible; metal-free is not right for every case.
6. Guarantees and aftercare
- We stand behind our work. If a restoration fails under normal use, please contact us promptly so we can assess it.
- Any guarantee depends on you attending regular examinations and hygiene appointments, following aftercare advice and telling us about changes in your health. It does not cover accidents, grinding without a prescribed night guard, or work adjusted by another practice.
- Dental implants. If an implant fails within the first year after it is placed, we replace the implant free of charge; the laboratory fee for the new crown or tooth is charged. This depends on you attending a hygiene appointment with our hygienists every 3 months and your bite checks with Dr George Lazaridis, as booked with you after placement. If these are missed, the free replacement does not apply.
- Your rights under consumer law are not affected.
7. Dental plans
Plan members pay monthly by direct debit. Plan benefits, member fees and terms are set out in your plan agreement and on our fees page. Plan discounts do not apply to specialist treatment or to any treatment that includes laboratory work or lab fees, such as crowns, bridges, veneers, inlays and onlays, dentures, implants, trial smiles and diagnostic wax-ups. Plan members should have their check-up at least once a year; section 2 explains when an examination is charged as a new patient examination.
If your plan stops. Please tell us you are a plan member when you call or book, and tell us straight away if your plan stops, for example because you cancel it or your direct debit is stopped. If you do not tell us, any treatment you receive after the date your plan stopped, at plan prices or as an included examination or hygiene visit, will be billed directly to your account at our full fees, less anything you have already paid for that treatment. We will send you a statement showing the date your plan stopped, the treatment received since then and the balance due.
8. Consent and your records
- We explain the benefits, risks, alternatives and costs of treatment so you can give informed consent, and you may change your mind at any time.
- You have the right to a copy of your records, including X-rays, free of charge. See our privacy notice.
- Clinical photographs are used on our website or social media only with your separate written consent, which you may withdraw at any time.
9. Children
Patients under 16 must be accompanied by a parent or guardian, who is responsible for consent and payment.
10. Respect for our team
We are committed to treating everyone with courtesy. Aggressive or abusive behaviour towards staff or other patients is not tolerated and may mean we are unable to continue your care.
11. Comments and complaints
Please see our complaints procedure.
